Upcoming Release of Cayuse SP

Announcement: ​ The Department of Contracts and Grants is excited to announce the upcoming release of Cayuse Sponsored Projects (SP).  On February 28, 2023, Cayuse SP will replace Kuali Coeus (KC) as the University-wide grants management pre-award and non-financial post-award system.  Cayuse SP will integrate with several USC compliance software platforms as well as Workday and allow for a more streamlined and efficient connection between systems.

Cayuse SP offers a broad array of benefits, including:

  1. Integrated Systems (Cayuse, iStar, diSClose, Trojan Learn, IPACT, Workday HR and Finance)
  2. Centralized Dashboards
  3. Smart Form Technology
  4. Streamlined Routing
  5. Simplified Approvals
  6. Improved Reporting Functionality
  7. Modern Look and Feel

KC and Cayuse SP Cutover

Cutover dates are being finalized.  Every effort is being made to minimize disruption for departmental users. Those dates will be announced shortly in a future NewsFlash update as well as on the DCG webpage. 

Campus Preparation and Training:

To prepare for the transition, DCG has released an online training module entitled ‘Preparing Proposals in Cayuse Sponsored Projects.”  The course is an introduction to Cayuse SP and offers users an understanding of the various elements and functionality within Cayuse SP as well as information regarding proposal development, review, and approval.  The course is hosted on TrojanLearn.  

In addition, DCG has developed the Cayuse SP Training and Resource Series.  The Series is posted at https://live-uscdcg.pantheonsite.io/training-resources/ and consists of customized guides that aim to walk users through creating and approving proposal records, proposal routing workflows, user roles, system enhancements, and system integrations.  The Cayuse SP Training and Resource Series identifies key distinctions between Kuali Coeus (KC) and Cayuse SP, including new terminology and compliance integrations.   

In addition to the online resources, the DCG training team has scheduled Zoom training with individual Schools and Research Institutes.  Initial training is focused on proposal preparation, routing and approvals customized to address School and/or Research Institutes specific needs.  Additional zoom training can be scheduled for post-award functionality, including subawards.  Please contact Joe Magallanes (joemagal@usc.edu) to schedule a zoom training.
