Enhancements to Final Report Tracking Notifications

Automated Final Report Notifications Are Here!
To better support timely award closeout, automated notifications for upcoming and outstanding final reports will now be sent to both Principal Investigators (PIs) and Research Administrators (RAs). The reminders — together with the Grants Management Dashboard and Final Report Submission Portal — are designed to provide visibility, advance notice, and added assurance that no reporting requirements are missed.

Notification Timing 
Based on the award terms, reminders will be sent:

  • 30 days before the report due date 
  • 30, 60, 90, and 120 days after the due date if the report remains outstanding 

Reminders will continue until all final reports have been received by the Department of Contracts and Grants (DCG), and the award has been closed in Cayuse. 

Cayuse Notifications (Active Now)
Report due notifications are currently being sent to Research Administrators. Notifications are sent to the assigned post-award administrator or, where available, to a central team distribution email. 

Workday Notifications (Launching March 9, 2026)
Principal Investigators will now receive report due reminders. Multiple reports with the same due date will be consolidated into a single notification. 

Think of the automated reminders as a safety net, providing PIs, departments, and schools with the visibility and lead time needed to meet obligations and reduce the risk of late or missing reports. 

Please note: These notifications are separate from the automated financial report notifications managed by Sponsored Projects Accounting (SPA).

Looking Ahead
As part of our continued efforts to streamline and enhance the award closeout process, a future enhancement is being explored to generate a singular, comprehensive closeout notification.

Your Existing Tools — Now Even More Powerful 
The new notification complements the following available tools:  

Workday Grants Management Dashboard – Cayuse Tab 
Provides a centralized view of final reporting obligations, with the ability to filter by sponsor type, cost center, or PI.

The dashboard also includes direct links to: 

  • Final Report Submission Portal 
  • DCG Award Closeout Overview
  • DCG Directory 

Final Report Submission Portal 
Submit Final Technical Reports, Final Invention Statements, Final Property Reports, and Final Subrecipient Reports directly to DCG through the Portal. Submission through the Portal helps expedite award closeout.
